Translation of ZUS ZLA document – when is it needed and how to do it?

What is a ZUS ZLA document?

ZUS ZLA form is a document confirming employee’s sick leave. It is used in Poland to report incapacity to work due to sickness or other health condition preventing an employee from undertaking professional activity. Employees who take the so-called sick leave need a document issued by a physician not only in Poland, but also abroad. It takes place for instance in case of implementation of international contracts or working for foreign companies.

When do we need a translation of the ZUS ZLA form?

Translation of a sick leave form is necessary when this document must be presented to your employer or institutions abroad. Even though forms of the Social Insurance Institution (ZUS) are commonly recognised in Poland, foreign employers can require a certified translation, to be assured of the contents and authenticity of the document. As the Social Insurance Institution (ZUS) explains on its website, translation of a sick leave issued on ZUS ZLA form does not require a translation. However, other forms of sick leave or documents confirming medical history issued abroad can require certified translation in order to be recognised by Polish institutions.

Sick leave document issued abroad must satisfy certain requirements in order to be recognised in Poland. Let us present an example: an employee who suffers an accident while resting abroad can obtain a sick leave abroad. In order for such a sick leave to be valid in Poland, it must be sent as a hard copy because PUE ZUS system is not compatible with systems applicable in other EU and non-EU countries. An original of a document entitling to absence at work must be immediately send to an employer and the Social Insurance Institution (ZUS). A correctly issued sick leave document shall specify its issuance date and it shall be delivered in due time. Translating a sick leave into Polish will help to eliminate possible objections of an office or employer.
