What is an apostille?
An apostille is a clause confirming the authenticity of a document issued by competent national authorities. In Poland, it takes the form of a special imprint with a handwritten signature of an official, hologram and official seal. It allows to recognise a document as legal and authentic in other countries which are the parties to the Hague Convention of 1961. An apostille is issued by Poland and over 120 other countries.
Where is an apostille clause used?
The apostille clause is placed on documents such as:
- birth certificates,
- marriage certificates,
- death certificates,
- diplomas,
- other certificates.
Thanks to this, documents can be used and recognised abroad.
When will an apostille be needed?
For instance, when you plan to commence your studies abroad or work in an international company. In these situations, Polish documents which must be recognised as authentic by foreign institutions are required. Here comes an apostille. Without an apostille stamp, documents may not be accepted which can delay or prevent realisation of your plans.
How to obtain an apostille in Poland?
An apostille is obtained in a three-stage procedure. Above all, we must make sure that we have all indispensable documents which require an apostille clause. This can be, for example, a certified translation of a birth certificate or diploma into English.
Next, you need to fill in an apostille application. It is important to check that all provided data are correct. You can fill in the form online on the website of the Ministry of Foreign Affair, or you can download an apostille application (specimen) and fill it by hand. The last step is to submit the application. For this purpose, you need to schedule an appointment in the Ministry of Foreign Affairs. You can do it online by selecting “apostille – schedule the appointment” option. It is of vital importance to have all required documents and a proof of stamp duty paid for the certification.
Costs connected with obtaining an apostille
An apostille fee is fixed and currently amounts to PLN 60 per one document. Fees can be paid via bank transfer or in cash in the office.
